Challenge

A high-end furniture retailer in Ireland reached out to us. They sell across a genuinely complex fulfilment model: some pieces are custom made-to-order with long lead times, some are pre-order, and some are in stock and ready to ship — and a single customer order can contain items from all three categories at once. Before working with us, the team was tracking this manually, with no reliable visibility into where any given order sat in its lifecycle or which supplier purchase orders were outstanding.

Solution

We built an operational system on top of their Shopify store to make the whole pipeline legible. This included a set of order metafields to capture the key lifecycle data (order date, ETA, delivery confirmation, purchase-order status and supplier list), a suite of Shopify Flow automations that read each order and apply the correct combination of tags across the three fulfilment types, and a set of Better Reports dashboards that surface everything in one place, including clickable links straight to the relevant order information, purchase order files and more. Between them, staff could see at a glance what was happening with each order, what needed attention, and what was safely on track.

Where the native tooling couldn't reach, we developed a small custom embedded app to retag historic orders so the new system applied consistently across their back catalogue, and we configured a master staging route in their delivery-routing app so in-stock orders land automatically for the warehouse team to pick and assign.

Outcome

The outcome was a shift from manual, memory-dependent tracking to an automated system that tells the team exactly what each order needs and when — the kind of quiet operational infrastructure that removes daily friction rather than adding features. It remains one of our most technically involved builds to date.
